Work Order Process (SOP)
Work Order Life Cycle
The process below describes the most common path of a Work Order and how each step can be exercised. Although there are several directions it can go, the steps outlined on this page describe the most common.
Vendor Creates WO
Over 95% of work orders are created by our vendors. This makes sense in a lot of scenarios as they have the pricing for the given request for additional work as well as the day they can do it.
PJM is notified of WO
The WO process was created to help facilitate the conversation of scope and price prior to the work being completed. In most cases the receipt of a work order should not be a surprise. If a work order is accepted a task will be created and show up in both the PJM's and vendor's schedule.
Once a WO is created and submitted for approval, all NVR users in the attention field will be sent an email with the ability to review the work order and Approve or Deny it. If denied, it will prompt the user to provide a reason which will be sent back to the vendor as well as everyone in the attention of the work order.
WO App
From the Work Order App a user can Accept or Reject a WO request by swiping left on the screen. They can also sort their work orders in various ways (see below).
Dashboard
The dashboard is the main landing page for every user when they log into the system. On that page we clearly display the total count of work orders assigned to a user with their current status. Simply clicking on one of the block will bring up every WO with that status and allow the user to take action.
PJM Completes WO
Expectation is that when the work is completed as described within the WO, an NVR user needs to complete/close the WO so that the vendor can submit for payment.
*Please note that completing the WO or the task will complete BOTH.
WO App Swipe
From within the WO app a user can swipe left to either reschedule a WO or to complete it.
SP App Swipe
Approving a WO creates a task in the schedule, this allows a user to manage their schedule and work orders from a single location.
SP Web Complete
Work Order tasks are a different color then other tasks. They also display the vendor who created them. These tasks can be managed just like any other task in the system.
WO Dashboard
The dashboard allows a user to always be on top of work orders assigned to them. Once accepted a user can see how many are open and overdue. Overdue simply looks at the latest end date of the task and compares it to the current date.
Production Managers see all WOs for their division not just the ones assigned to them.
Work Order App Sorting Options
The app allows you to sort your Work Orders several ways. To do so you will click on the Filter Icon located in the top right hand corner of the screen.
