Lumber Submission Process

Lumber is formally submitted to NVR Building Products (Plant) through an automated process of gathering schedule dates and sending them to the plant on a weekly basis.  These process of sending requested dates is performed by a designated Lumber Submitter for each divisions.  This role can be shared but should be limited to those with knowledge and training on the proper process.  If a user needs this designation added to their profile they need to contact the IT Help Desk

Columns

Warning Signs

The purpose of the warning sign is to draw the users eye to something important on the screen.  Sometimes the warning signs can be ignored if the lumber submitter knows that the issue should be corrected during the next automation run.

Start Date

When an estimate is locked a Start Date should be entered into UCS.  During the nightly update process the presence of a date changes the schedule from backlog to Under Construction. If a task/package is tied to a schedule that is Under Construction the date will be BOLD and Blue.

Scheduled Date

When the DMS date does not match the schedule Date of the task the text will display RED. Matching is not necessarily a bad thing as it could alert a user that the are making a change to a specific package.  After automation both of the DMS date and schedule date should be the same during the firm weeks.

No Date

When DMS does not have a date for a package it will appear black or with a small dash (  -  ).  This is should indicate to the user that DMS is unaware of the pack request.  In weeks 3 or greater this is not an issue but if discovered during the firm weeks there should be some concern and a user should contact the plant manager.

*DMS dates are removed from the nightly feed the day before they are delivered.  That means you might get blank DMS dates on packages that were delivered in the past or scheduled for the following day.

Triangle (Rules)

Set/ver

Compares the set and version between UCS, DMS and SchedulePro. If the package is missing from the DMS feed it will only trigger a triangle during weeks 1-3.

Handing

Compares the handing between UCS and DMS (Insert Explanation for possible causes for the warning below)

Elevation

Compares the elevation between UCS and DMS

Kitchen Cabinet Color

Compares the 3 digit code between UCS and DMS for ONLY the Delivery - IT package.  Please note that other packages might have a different Kitchen Color but those can be ignored

Wrong Task

The most common reason a triangle is appearing on the screen is the use of incorrect tasks.

Common Warning Signs and Resolutions

Data Mismatch

Verify if the lot is in the feed and if the Projected Settlement date is null in UCS. Confirm with the user if the sale was canceled. If the lot was canceled and being spec'd out, let the user know - to resolve the data mismatch, they need to push the start date out to the best estimated                         date and put in another updated projected settlement date to resolve the mismatch. Once this is complete, verify the next business day to see if the mismatch is resolved.

Task Detail

Notes

Notes are able to be added from the screen.  These notes are meant to communicate with the plant on specific things the might apply to that package.  Notes added via the schedule will also appear here and be sent to the plant for review.

Notes should not be used to convey schedule dates

Documents

Adding Documents is the same process as through the normal task detail window

Issues

Adding Issues is the same process as through the normal task detail window

Locking Task

Locking tasks is the same process as through the normal task detail window, however locked tasks will appear with a lock icon

Automation

During plant automation the follow steps are kicked off to update the SchedulePro tasks

  • Move the task date and the DMS date during the firm week window
  • Set the task to Plant lock (if this needs to be adjusted please contact the plant manager or plant area lead)
  • Complete any plant task that has a delivery date < the current date

Plant automation is controlled by Building Products.  To find out who that currently is go to the USER page in SchedulePro and type "Plant" in the type column.

Notifications

DMS request

An automated email will be generated and sent the the PJM and PM assigned to any lot when the requested date is not met during the firm weeks.  The expectation is that the the PJM adjusts their schedule to accommodate to the change.  In the event hitting this date is imperative we recommend you talk to the /wiki/spaces/SS/pages/633078404

Lumber Submission

A lumber submitter has the ability to notify anyone who has access to a division and has elected to receive notification.

Users can turn on this notification from their profile page (How to update your profile)

Submit lumber

Selecting yes will notify users of your submission.  It is recommended that you only click yes when you think this is the last one.

Example of email being sent to user. Note that it shows you who submitted the lumber for the divsion

Package Value

Package values are used when determining capacity as well as package allocation.  Although not currently setup that way, the system allows the plant managers to change capacity value by package per plant.

Plant (Reduced) Capacity

To account for holidays, Plant managers are able to reduce or increase plant capacity on a weekly basis.

Example: Division has a start target of 5 but the plant is closed due to a holiday.  This page we are able to adjust all numbers by 20%.

Unsupported Community Packages

If a community is not supported by a plant or only partially supported and they have to buy their materials locally we can ignore those packages when it comes to package allocation as well as lumber automation.  To have your community/package added to the ignore list please contact your area lead to open a ticket.

Example: RHW only gets SS and IT from Thurmont, RL and RF would be added to the list of unsupported packages and ignored from automation.

Monthly Lumber / Start Targets

Lumber/Start Targets are added one a month per the direction of planning.  If a value is incorrect or needs to be changed please contact your /wiki/spaces/SS/pages/633078404.

Firm Week Gap

Timing is very important when it comes to requesting lumber packages. Remember that packages requested for new week 1 and new week 2 will still be able to be moved until Friday morning at 7am. Any change to a package during the Firm Week Gap should be discussed with your PM and/or Plant manager. If the change affects a delivery date after New Week 2 can be ignored, anything within should have a high level of communication with the parties involved.
