Permit Package Process

The purpose of this page is to demonstrate the setup and execution of the Permit Package process.  This process is being piloted across the company in an effort to document and manage this phase of construction. 

SETUP

FIRST TIME SETUP 

ADDING PERMIT PACKAGE TASK TO TEMPLATES (SchedulePro Admin)

Step 1:  Division Permitting Team/Management Team should decide where the Permit Package Task should go on the schedule and the duration of task for each community in the division. (ex: Permit processing for municipality is 3 weeks and permit is needed 1 week before start, task should be placed in template on day -20 and task duration should be 15 days long)


Step 2:  SchedulePro Admin should add task and extend the duration of the task accordingly for each template in all communities (see screen shots below based on example above). This will pull the task into all sales that occur after the date that you add the task into the template.

Pull the task into the template calendar, this can be done by clicking and holding your mouse on the task and dragging it.

Click on the task and open the detail lightbox, fill out the sequence day and duration and click Apply Changes.

Step 3: To affect existing schedules you can do the following.  Either REFRESH the schedule or manually add the task to the schedule.  We recommend you only REFRESH the schedule if it is brand new or you have communicated it with the PJM.

Step 4: In an effort to obtain as much data as we can from this exercise, we would like you to use your division start schedule/permit tracker to add the permit task to current schedules where the permit has already been dropped at the city/county. Make sure that the permit drop date is the date that the permit package task starts. Task must also be locked.

MANAGING

MANAGING PERMIT TASK (Permit Admin)


Step 1: When the division requests the permit (i.e. date the permit leaves the office with a Permit Runner or PJM, etc.), the permit package task must be moved to that date in SchedulePro. The task must also be LOCKED to communicate that the package was requested and to prevent it from moving if the start date were to change.

Step 2: Once permit has been delivered to the division office, the task duration should be updated to match the permit received date and it should be completed.  


BEST PRACTICES

  • Schedule Date of Task should always be the date that the permit is requested by the division
  • The end date of the task should be the date that the permit is received at the division office
  • When permit is dropped the task must be locked once it is correct on the schedule
  • If a task must be moved or extended on the schedule, you must always unlock the task first and then lock it back once you have moved it.
  • If duration of the task needs to be extended, you must drag your task in the schedule to extend it or open up the task and change the duration days
  • Be sure to complete the task after you have updated the duration of the task to match the date that the permit is received in the division office.
  • Do not complete your task until you know that the start & end dates
  • Using the Multi-Lot Management setup will help with town home and condos (SFA).  Completing or moving 1 unit will prompt you to move the whole building. (Link to Training)
