Precision - Lot Ownership Log (LOL)

Precision is a web based application that is used to keep NVR in compliance with Federal, State and local government.  It is also used to implement our Quality Control program.

Lot Ownership Log is a documented form that is used to keep record of 5 key milestones.  Based on those milestones determines NVR's level of responsibility when it comes to Erosion and Sediment (E+S) Controls. 


Step-by-Step Guide - Adding

How to “Add” a SFD, SFA or Condo building into the Precision Lot Ownership Log (LOL):

  • Click on the Lot Ownership button located in the Navigation Bar

  • Select the division and community from the drop-down lists to which you would like to add a lot and then hit the “Filter” button.

Note: If the community you are looking for is not listed, it is most-likely due to one of the following issues: 

If you are adding the first lot in a community, it could be that the community has not been activated in Precision. This is the responsibility of the Production Manager.

If the community you are trying to add a lot to has been under construction, check with your Production Manager, as the lot may need to be assigned to a different designator.

Note: It is important to remember that lots are assigned to environmental permits and not to NVR Community Designators.

  • Check the box next to the Add New Lot button located under the Precision Icon.

  • Select “Type” (SFD, TH, Condo)
    • SFD - Single Family Detached
    • TH – Townhomes: NVHomes, Heartland or Ryan
    • Condo – These are only for condo products
  • Select Division
  • Select Actual Community (this is the designator that appears in UCS and SchedulePro)
  • Select Permit Community (this is the designator under which the environmental permit is stored)

Note: The “Permit Community” This may be different from the “Actual Community” or NVR designator.

For SFD products

  • Enter only the 4 digit lot number (i.e. 0023 or D234). Failure will break automation.

For TH products

  • Ryan Homes and Heartland Homes
    • “Building (Ryan Only)” - Enter the building 4 digit lot number
    • “# Of Units in Building (Ryan Only)” – The total number of units.
    • The “Lot (NVHomes Only)” field should remain blank.
    • Once complete, hit “Submit”. If completed properly, Precision should create all the individual lots and show as having a building and # units identified on the screen.
  • NVHomes
    • Both the Building and # of Units in Building should remain blank.
    • Enter the lot under in the Lot (NVHomes ONLY) Each lot will need to be entered individually and will consist of a 5 character lot number (i.e. 0034A).
    • Once complete, hit Submit. Your individual lot should now appear.
    • These lots will appear in the same manner as a SFD lot.

For Condo products

  • Ryan Homes and Heartland Homes
    • Building (Ryan Only) - Enter the building 4 digit lot number
    • # Of Units in Building (Ryan Only) – The total number of units.
    • Once complete, hit Submit. If completed properly, Precision should create one lot for the entire building.
    • When complete the word “Condo” should appear in the Lot column along with the building and # units.

Step-by-step guide - Edit

How to edit a lot or building information.

Note: To change dates or add dates into the Lot Ownership Log, you must contact the Precision Administrator.

  1. Open the LOL.
  2. Find the lot that you want to modify.
  3. Click on the Lot number. (This field looks like a hyperlink)
    • The ability to edit lots is restricted to Production Administrators and Production Managers.
  4. A new window will open and allow you to edit all of the fields.
    • Since Precision works off a data table, you may need to refresh the information available in the pull-down menus. To do so, start at the Division Code field and set it to blank. Then, reset your division designator. This should reset your data and allow you to select the community and permit description.

Step-by-step guide - Automation

Automation occurs at 7am (EST) daily.  Precision receives feeds from various system to update the Lot Ownership Log.

Sources of Dates:

  • Date of Title Transfer - Nightly feed to Precision
  • UCS Start Date - Nightly feed to SchedulePro
  • Date of Temp and Final Stabilization - Completion of the Temp and Final Stabilization task in SchedulePro
  • Transfer of title to homeowner - Nightly feed to Precision

Please be aware:

PJMs are expected to verify the accuracy of the dates on a weekly basis.  Automation does not replace the need to ensure the accuracy of the dates.

Communication

In order to help with accuracy, an email alert has been incorporated into Precision. This will help the production staff identify updates or changes to the Lot Ownership Log. When the addition of the Purchase Date, Start Date and/or the Date Transferred to Homeowner are received by Precision, an email will be generated, alerting the Project Manager of the update.

DCLU

The DCLU is the most important part of the automation process.  If the Actual Community, Community and/or Lot Number are incorrectly entered, the automation process will not work.  Be sure to confirm these fields when initially setting up the lots.

Date Title Transferred to NVR 

The date title transferred to NVR (lot purchase date) traditionally populates within 1 day after the purchase. 

UCS Start Date

The UCS Start Date populates utilizing the same date entered into UCS. This date will not populate until the estimate is locked in UCS.  If any changes are needed, they need to originate from UCS.  These changes will update the Lot Ownership Log during the overnight process.

Date of Temporary Stabilization

The Temporary Stabilization date is generated with the completion of the Temp Stabilization task in SchedulePro.  Any changes to this date must be initiated from SchedulePro. To make changes, you will need to contact your SchedulePro administrator.  This task is an option driven task and will only be visible in your lot’s schedule if the option "Temp Stabilization" is set as a community standard or manually selected.  In the event you do not see the task in your template, please contact the help desk.  

Automation only looks back 14 days. If you close out a task that was completed over 14 days ago, it will not be identified and the field will remain blank. If you have a situation in which the task is completed, but there is still no date in the LOL, you will need to; first, make sure the DCLU is correct, then, have your SchedulePro Area Lead open and close the task in the schedule.  This will set a trigger to pull in your change during the next automation cycle.  

“Task Actual Date” is what is entered into the LOL.  Tasks with a duration of more than 1 will use the start date of the task.

Date of Final Stabilization

The Final Stabilization Date and the Temporary Stabilization Date, both require a task to be completed SchedulePro.  The only difference is that this task does not require activation through the community standard. This task should appear in every SchedulePro template. If this task is not showing in your lot schedule, try the Add Task function to add it. If not available in the Add Task list, please contact the help desk.

Transfer of Title to Homeowner

The Transfer of Title to Homeowners or Settlement Date will update in the LOL 1 day after it is entered into UCS.  Divisions should be updating their settlement dates at least once a week.  

Note: Condos will populate the date of the FIRST unit that settles.
