How to do a Phase Activity Refresh

The phase activity that is tied to a task determines which vendors can see and interact with the task.  It is also important to have the correct phase activity draw on each task for the auto pay process.

Step-by-step guide

  1. Go the Schedule Summary Page, this can be done by clicking on the Calendar Icon in the Navigation bar
  2. Select the schedules you want to affect  (please limit the number of schedules to 20 or less)
  3. Once checked the Action button will become active in the Action Bar, Click on it
  4. A drop down will appear click on the button labeled Phase Activity Refresh
  5. The system will give you an estimate of how long it will take to process, it is usually 3-5 seconds per schedule. If you want to proceed Click Refresh
  6. During the Phase Activity Refresh process you will see a status bar
  7. Once done you will see a progress report of all of the changes to the schedules selected
    1. #1 is the DCLU of the schedule
    2. #2 is the task(s) affected
    3. #3 is the phase Activity 
    4. #4 is the vendor 
    5. #5 is the Action that was taken (Add or Remove), Removed action will be in RED and crossed out
  8. At the bottom of the page you will see the Close button, if you see a blank line that mean no tasks were affected on that schedule

 

Only users with the security profile of Local Admin, PM, Reg PM have the ability to perform this action.  

This can be done at any point in time but is only recommended after there are changes to the Division Phase Activity Page

This does not add or remove options or tasks from a schedule, just phases
