How to use Skype for Business

There are a lot of technologies at your disposal that you might not be aware of or know how to us.  Below is a brief overview of Skype for Business

All NVR users should have Skype for Business on their PC.  If you do not please contact the ITD Help Desk

How to find program on computer

  1. Click the windows icon in the lower left hand corner of your screen
  2. Click All Apps
  3. Scroll until you see Skype for Business (if you do not see it please contact the ITD Help Desk)
  4. The first time you will need to "sign-in" if you are already on the NVR network you should not have to put in your password.  If so it will be your NVR network password.
  5. You can set it up where it open automatically every time you turn on your computer. 

Basic Functions

All NVR employees are available in the drop down.  However if they do not have Skype of Business opened they will not get the message.  

Chat (IM)

  1. To start a chat with someone find the name in your list of contacts.  If they are not visible then start typing their name in the field labeled "Find Someone"
  2. Once you find them double click on their name
  3. A window will pop up allowing you the ability to chat real time

Screen-sharing

  1. To share your screen with someone find their name in your list of contacts. If they are not visible then start typing their name in the field labeled "Find Someone:
  2. Once you find them double click on their name
  3. A window will pop up with that person's name at the very top
  4. Click on the monitor icon on the bottom of the window, then click Present Desktop
  5. The next window that pops up will give you a preview of what the other person(s) will see.  If you you have multiple screens you can pick which one.  Click Present
  6. The system will give you 1 more warning that you will be sharing your screen. If you feel OK with this process you can always check "do not show this again".  Click OK
  7. After this point you will now be sharing your screen with the other users.  I have the ability to stop sharing at anytime if you need to.  Also you have the ability to give them control of your screen.

Reasons to use Skype of Business

  • Create message thread between you and other user or multiple users
    • Example: Chat in real time with Sales Rep, Mortgage Loan Officer and PJM about weekly updates.
  • Share your screen
    • Example: PJM wants show the sales rep and customer a part of the blueprints that are of interest.  PJM can do so from any location.
  • Help someone with an issue
    • Example: Sr. PJM wants to show PJM how to mark up plans.  PJM shares his screen and allows Sr. PJM to take control of the mouse.

Skype of Business is an Enterprise Software developed by Microsoft.  That means there are training materials as well as How-To videos all over the internet on how best to use this tool.  We will be including links to pages and videos we feel add value but simply typing your questions into Google or their

Warning with using Skype for Business

This is a tool that should be used within a defined process.  The process should be consistent and followed by all people in the organization.  Skype for business has the potential of being another distraction of not used correctly.  Below are a some good practices verses bad.

GOOD

PJM,Sales Rep and LO schedule a weekly meeting via Skype chat to talk about current customers.  The expectation is that this meeting is always using Skype chat until something comes up preventing it.  The conversation is saved in Outlook and can be reviewed at a later point if there are questions.

Production Manager reviews Open Issues, Pending WOs or other areas of interest with PJMs during weeks they don't have a meeting.  PM shares his screen and helps solve issues PJM is having.  Doing this online allows the PJM to stay in the field and the PM to quickly reach his/her team.

BAD

Sales rep messages PJM asking for color of house, color of house is listed on SAR and can easily be found.

Office admin contact PM via text, email, phone and skype all about the same topic.
